# The Records Timeline

> Six kinds of record, one sheet to write them, one timeline across the farm, with a photo on any of them.

How to: [Add a Photo to a Record](/how-do-i/records/add-a-photo-to-a-record), [Write a Record with No Signal](/how-do-i/records/write-a-record-with-no-signal).

## What It Tells You

The **Records** tab is the farm's notebook: every spray, fertiliser and nitrogen application, herd move, harvest and note, newest first, across every field. It is the record an inspection asks for, in the order it happened. Filter by kind or by field. Each row leads with a glyph for its kind, names the field and the product or the herd, and carries the facts the regime wants: the MAPP number on a spray, the total N on a nitrogen line.

## How It Works

The **+** button opens one sheet for all six kinds. The field, the date and the weather at the time are filled in; you add what the sheet asks for that kind.

| Kind | What the sheet asks for | Where it goes |
| ---------- | -------------------------------------------------------------------------------------------------------------------------------------- | -------------------------------------------------------------------------- |
| Spray | The product from the MAPP register, the dose, the target; water volume, growth stage, LERAP category and buffer, harvest interval | The plant protection product record, in the Voluntary Initiative's columns |
| Fertiliser | The type, product and rate | The applications log and the nutrient plan |
| Nitrogen | Manufactured or organic; for organic, the manure type and how it was spread, so the available N is worked out from the standard values | The NVZ field record, with the N-max and the 250 kg field limit checked |
| Herd move | The herd and the field it went to, or housed | The livestock record and the manure plan |
| Harvest | Opens the planting, where the yield and moisture are recorded | The variety evidence and the field's history |
| Note | Free text, with or without a field | The timeline, and the field page |

A photo can go on a spray, a fertiliser, a nitrogen line or a note: the label, the heap, the field as it was. On a phone the sheet opens the camera; in the browser it opens a file chooser. The picture is stripped of its location data, kept with the record and shown on its row.

A record written without signal is kept on the phone and sent when it reconnects. It shows on the timeline at once, marked as pending, and becomes a plain row when it lands. See [Offline Action Queue](/features/account-and-data/offline-action-queue).

A spray's four assurance fields are optional. The record prints a blank one as "not recorded" rather than leaving the column out, so an assessor sees what is missing rather than nothing.
